CANCELLATION & REFUND POLICY
1. Formal Event Confirmation
An event becomes formally confirmed upon receipt of the applicable advance payment and written confirmation from Segaro.
The 50% advance payment made upon formal event confirmation is non-refundable, subject to the applicable terms of the engagement and any specific written agreement between the Client and Segaro.
2. Tentative Date Holds
For events planned well in advance, Segaro may accept a mutually agreed token amount to provisionally hold a date.
A tentative date hold does not constitute formal event confirmation unless confirmed in writing.
The terms applicable to such a date hold shall be communicated separately at the time of the arrangement.
3. Cancellation After Confirmation
If the Client cancels an event after formal confirmation, payments already made shall be dealt with in accordance with the agreed Payment Terms and the specific circumstances of the engagement.
The primary advance payment made for formal event confirmation shall remain non-refundable.
4. Third-Party Commitments
Where Segaro has made commitments or incurred costs on behalf of the Client—including venue bookings, accommodation, transportation, travel arrangements, production, entertainment, artist bookings, creative work, manpower or other third-party services—such costs may remain payable by the Client where they are non-refundable or otherwise contractually committed.
5. Additional Costs
Any costs incurred by Segaro in preparation for or execution of the engagement and falling outside the finalized quotation may be separately payable by the Client.
6. Refunds Where Applicable
Where a refund is applicable, the amount shall be determined after considering:

Payments already received

Services already provided
-
Work already undertaken

Non-refundable third-party commitments

Cancellation charges imposed by suppliers

Other costs or liabilities incurred specifically for the engagement
Any eligible refund shall be processed within a mutually agreed period after the final financial reconciliation.
7. Changes to Event Requirements
A change in event date, venue, guest count, itinerary, scope or other major requirement may affect the agreed pricing and availability and may be treated as a modification of the original engagement rather than a cancellation.
Such changes shall be evaluated individually and communicated to the Client.
8. Cancellation by Segaro
If Segaro is unable to undertake an engagement for reasons attributable to Segaro, the matter shall be addressed with the Client in accordance with the applicable agreement and circumstances of the engagement.
9. Unforeseen Circumstances
Events may sometimes be affected by circumstances beyond the reasonable control of either party, including natural disasters, government restrictions, serious disruptions to transportation, venue closure or other circumstances that materially prevent performance.
Such situations shall be addressed on a case-by-case basis, taking into account the applicable contracts, third-party commitments, amounts already incurred and reasonable alternatives available to the parties.
10. Written Communication
All cancellations or material changes to a confirmed engagement should be communicated to Segaro in writing.
